Vidyo

The CERN IVR service allows you to easily connect to a Vidyo meeting in any of the RAL (and DL) meeting rooms.

This will use the Vidyo to H.323 gateway, so you will have no control over what incoming video you see (slides or other rooms) - if you wish to control this then connect the room as described here and also use a laptop to display in the room, where you will have full control of what you display.

What you will need to know:

You need to come armed with the meeting extension number and PIN (if defined) for the meeting that you want to join. This is the 'Extension' number, not the Auto-join URL

On the Indico page for the meeting this is given by the 'More Info' button on the 'Video Services' line at the top of the page. See http://information-technology.web.cern.ch/services/fe/howto/users-find-vidyo-meeting-extension

In the conference room:

You need to wake the room up in 'Video Conference' mode. In most rooms this is using the Crestron room control system, which is usually located by the entrance...

Box on wall by entrance: Tap screen to wake display, then wake up as ‘Video Conference'

All rooms:

In the rooms with Cisco, LifeSize or PolyCom equipment you use the on-screen menus to call Vidyo.

Using the remote control or tablet:

Either find the 'CERN Vidyo IVR' or 'CERN bridge...' entry in the addressbook, or enter the actual address 188.184.66.56, and place the inital call to the CERN gateway.

On Cisco you look in 'Favorites', then 'Other Research Councils', on PolyCom in 'International'.

Once connected to the Vidyo gateway you asked to follow the room extension number with the pound key - this is in fact the ‘#' key (and on a PolyCom you need to press the '#' first - see n.b. below), so enter the Vidyo room extension number, then the '#' key.

Similarly if the meeting has a PIN, you will be prompted to enter it (no need for leading '#' on PolyCom).

Do not worry if the screen says that you are the only participant - this just means that nobody else is sending video.

N.B. with a PolyCom:

You need to press the '#' key before the room extension number to switch to numeric entry mode - otherwise it interprets your keypresses as preset selections...

So if you get messages about presets, press the '#' key and try again.

To finish the meeting and hang-up:

Press the hang up button on the remote control or tablet.
